What data we collect
We collect personal data in the following situations.
When you fill in a form on our website (including the Marketing Maturity Assessment, contact forms, or any other lead capture), we collect the information you provide. This typically includes your name, work email address, the company you
work for, and your responses or score data.
When you email us or reply to our outreach, we collect your name, email address, signature information, and the content of your message.
When you visit our website, our website host (Wix) and any analytics tools we use may collect technical information automatically. This includes your IP address, browser type, device type, pages viewed, and referring URLs. Cookies are covered separately below.
We do not knowingly collect special category data (such as health, ethnicity, or political opinions). Please don't send us any.
Why we use your data and our lawful basis for doing so
Under UK GDPR we need a lawful basis for every use of your personal data. Here are ours.
To respond to your enquiry, send your assessment results, or follow up on a conversation you started with us. Lawful basis: legitimate interests (running and responding to our business) or, where you've expressly opted in, consent.
To deliver services you've engaged us for. Lawful basis: performance of a contract.
To send you occasional marketing emails about our services, insights, or events, where you've asked us to or where we have a relationship with you that makes this a reasonable expectation. Lawful basis: consent, or legitimate interests for existing client and prospect relationships under the "soft opt-in" rule. Every marketing email contains an unsubscribe link.
To improve our website and service, by analysing how visitors use the site. Lawful basis: legitimate interests, balanced against your privacy.
To meet our legal, accounting, and tax obligations. Lawful basis: legal obligation.
If we ever rely on legitimate interests, we've considered whether our interest is overridden by your rights. You can object at any time (see "Your rights" below).
Who we share your data with
We don't sell your data. We share it only with service providers who help us run the business, and only to the extent they need it. The main ones are:
Wix.com Ltd hosts our website and processes form submissions. Data may be stored on Wix servers in the EU, US, or Israel.
Google LLC (Workspace, Gmail, Google Sheets, Google Apps Script) stores our email correspondence and form-submission records, and runs the scripts behind tools such as our Marketing Maturity Assessment. Data may be processed in the EU or US.
We may also share data with our accountant, legal advisers, or other professional advisers where reasonably required, and with regulators or law enforcement where we are legally obliged to do so.
Where any provider transfers personal data outside the UK, we rely on the UK's adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or the UK extension to the EU-US Data Privacy Framework, depending on the provider.
How long we keep your data
We keep personal data only for as long as we need it.
Form submissions and email correspondence: up to 24 months from your last interaction with us, unless you become a client.
Client records: for the duration of our engagement and for 7 years afterwards, to meet UK accounting and tax obligations.
Marketing contacts: until you unsubscribe or ask us to delete your data.
Website analytics data: in line with the retention settings of the analytics tool, typically 14 months.
Cookies
Our website uses cookies. Some are strictly necessary to make the site work (set by Wix). Others help us understand how the site is being used. Where required by law, we'll ask for your consent before setting non-essential cookies, via a cookie banner on the site. You can change your cookie preferences at any time and you can also block or delete cookies through your browser settings.
Your rights
Under UK GDPR you have the right to:
-
ask for a copy of the personal data we hold about you (a "subject access request"),
-
ask us to correct data that is wrong or incomplete,
-
ask us to delete your data, where we no longer have a lawful reason to keep it,
-
ask us to restrict how we use your data,
-
object to us using your data on the basis of legitimate interests,
-
ask us to transfer your data to another provider in a portable format,
-
withdraw consent at any time, where we rely on consent.
To exercise any of these, email hello@conversionpunkt.com. We'll respond within one month.
If you're not happy with how we've handled your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113. We'd appreciate the chance to put things right first.
